Handling of Personal Information
1. Scope of Application
This Privacy Policy applies when customers use the services and products of Yokohama Pier 8 Hospitality LLC (hereinafter referred to as the “Hotel”).
2. Purpose of Use of Personal Information
Your personal information will be collected and used for the following purposes.
- For reservations for accommodations, banquets, restaurants, and other services at the Hotel, the provision of various services, and customer safety
- Accommodation reservations through the IHG, ANA, and Hotels Reservation Center
- Provision of services under IHG One Rewards
- Guidance, provision, and management of services, products, events, and campaigns handled by the Hotel
- Conducting customer surveys regarding the Hotel’s services and products
- Development of new services and products handled by the Hotel
- All operations incidental or related to items 1 through 6 above
- Operations related to the provision of the Hotel’s services and products
- Guidance on services, products, events, and campaigns handled by the Hotel and its business partners, and provision of various information
- Responding to inquiries, requests, and other correspondence
3. Acquisition of Personal Information
Your personal information will be acquired by lawful and fair means.
4. Disclosure and Provision to Third Parties
The Hotel will not disclose or provide your personal information to any third party except in any of the following cases.
For clarity, in cases of joint use and provision to subcontractors, such handling does not constitute disclosure or provision to a third party.
- When the customer has given consent
- When disclosure or provision is required by laws or regulations
- When necessary for the protection of a person’s life, body, or property, and obtaining the customer’s consent is difficult
- When cooperation is necessary for a national or local public body, etc. to carry out public affairs, and obtaining the customer’s consent may impede the execution of such affairs
- When, in providing information, the Hotel gives prior notice to the individual of the following matters or places such matters in a condition readily knowable by the individual, and suspends provision to third parties at the individual’s request
- That provision to a third party is included in the purpose of use
- Items of personal data to be provided to the third party
- Means or method of provision to the third party
- That provision of personal data identifying the individual to a third party will be suspended at the individual’s request
- When disclosure or provision is made in a form that cannot identify the individual, such as statistical data
5. Outsourcing of Operations
The Hotel may outsource part of its operations and provide personal information to subcontractors within the necessary scope.
In such cases, the Hotel will execute handling agreements with such subcontractors and provide appropriate supervision.
6. Requests Regarding Personal Information
If a customer wishes to request disclosure, correction, suspension of use, or similar action regarding their own personal information, we will respond promptly within a reasonable scope if the customer contacts us via the method separately prescribed by us. However, in order to prevent falsification of customers’ personal information by third parties, such response is limited to cases where we are able to confirm that the requester is the customer in question.
7. Management of Personal Information
The Hotel appropriately manages customers’ personal information and exercises the utmost care to prevent leakage, loss, falsification, and other risks. We provide internal education to officers and employees regarding the protection and proper handling of customers’ personal information. In addition, we separately establish retention periods for personal information according to each purpose of use, and after expiration of the relevant period, such information will be disposed of by appropriate methods.
8. Application and Revision of the Privacy Policy
This Privacy Policy explains how the Hotel handles customers’ personal information, and customers who use the Hotel’s services and products are deemed to have fully understood and agreed to the contents of this Privacy Policy.
The Hotel may change this Privacy Policy at any time.
9. Site Policy
To appropriately protect the personal information of customers who use websites operated by us, we have established a site policy and exercise the utmost care in its handling.

Requests described in the previous paragraph concerning your retained personal data, and other inquiries concerning personal information, may be made by the method below. Inquiries regarding IHG One Rewards are handled free of charge by InterContinental Hotels Group. Please note, however, that in all cases we cannot respond if your identity cannot be verified.

2. Documents to Be Submitted for Disclosure
When making a “request for disclosure, etc.,” please complete all required fields on the following request form (A), enclose identity verification documents (B), and mail them together with stamps equivalent to a handling fee of JPY 1,000. Please note in advance that we cannot respond to disclosure requests if any required item is left blank. In addition, if the fee is insufficient or not enclosed, your request for disclosure, correction, suspension of use, etc. will be handled as if no request had been made, so please be sure to check before mailing. (We do not accept in-person submission at the Hotel.) To obtain a request form, please contact InterContinental Yokohama Pier 8 “Personal Information Customer Consultation Desk” by phone or fax.

3. Fees
For requests for disclosure, a fee of JPY 1,000 (tax included) will be charged per request.
4. Response
We will endeavor to respond as promptly as possible after receiving the disclosure request form or the correction/suspension request form. However, processing may take additional time if there are deficiencies in the form details or if required verification documents are not complete.
Response letters regarding requests for disclosure, correction, suspension of use, etc. will be sent by “Restricted Delivery Mail for Addressee Only” to the address and name stated in your identity verification documents. You will receive a notice from your nearest post office addressed to you; please bring your seal and identity documents and collect it at the post office counter.
Personal information obtained by us in connection with requests for disclosure, etc. will be used only for operations necessary to respond to requests for disclosure, correction, suspension of use, etc. and for no other purpose. Submitted documents will be retained under strict control for three years from the completion of the response process for such requests, after which they will be responsibly destroyed by us.
Non-Disclosure of “Retained Personal Data”
We will not disclose information in the following cases. In such cases, we will notify you with a statement of the reason. Please note that the fee prescribed by us will also apply in cases of non-disclosure.
- When the personal information subject to the request for disclosure does not fall under “retained personal data”
- When there are deficiencies in submitted documents
- When identity cannot be verified (example: address or other details do not match among the request form, identity documents, and our registered records)
- When there is a risk of harming the rights or interests of the individual or a third party, including life, body, or property
- When there is a risk of violating other laws or regulations
- When there is a risk of significantly impeding the execution of our business operations
